1. Microsoft Dynamics GP Quick Links

Quick Links is a tool that allows you to be efficient when navigating between windows. It gives you the ability to set up your own links on the Microsoft Dynamics GP home page, eliminating the need to move between modules before opening the windows you need.

2. Shortcuts in Microsoft Dynamics GP

Shortcuts are another great way to navigate Microsoft Dynamics GP efficiently, as well as in and out of the platform. There are various default shortcuts available, with the ability to create your own for frequently used windows.

To create a shortcut to a Microsoft Dynamics GP window, open the window for which you want to add the shortcut. Then select File ? Add to Shortcuts.

To create a shortcut to a Microsoft Dynamics GP SmartList, follow the steps below:

  1. Right-click anywhere in the list of shortcuts in the navigation panel and select Add ? Add SmartList.
  2. Once the Add SmartList Favourite Shortcut window appears, find and choose the favourite of which you want to create a shortcut.
  3. Then either accept the default name or enter a new one.
  4. Select Add and then save your shortcut by clicking Done.

3. Copy and paste new user information

Depending on the size of your business, employees may come and go quite often, and setting up new users inside Microsoft Dynamics GP can become time consuming. Instead of creating a checklist when it comes to setting up a new user, you can simply copy home page and area page settings from one user to another. 

You can also copy over security access settings, which can save a lot of time when replacing one user with a new employee.

4. Copy company setups with PSTL

Just like you can copy and paste user info, the same can be done when setting up a new company. Using the Professional Services Tools Library, or PSTL, you can copy data from one company over to another. This feature makes it both easier and quicker to develop test companies.

5. Microsoft Dynamics GP user preferences

The Microsoft Dynamics GP User Preferences window includes several options which can be adjusted to suit your individual needs.

Although it is down to personal preference, we recommend changing two of the default selections.

The first is located in your Display preferences. Click on the Display button in the User Preferences window and change the Required displays to be bold and red. This way, required items will stand out, making it easier to locate information fields that need completing.

The second is with the Entry Key preference. As default, this is set to your Tab key which will be used to move across data fields. Most people prefer to use, and are used to using the Enter/return key instead. But as mentioned, it all comes down to what you are most comfortable with.

6. Price List Wizard

You may find yourself needing to update prices or add a new price list to your Microsoft Dynamics GP. Fortunately, Microsoft Dynamics GP has a Price List Wizard to help streamline this process. 

If you are using Standard Pricing, the Price List Wizard is a major time saver when updating, copying, and all-round managing price lists. It allows you to select the necessary wizard to manage your pricing needs, and each will guide you through the steps to complete the process.

7. Document attach functionality

In the Microsoft Dynamics GP/Tools/Setup/Company/Document Attach Setup window, you can allow document attachments by marking the necessary check box. You can then set your default location for attachments and choose a maximum file size.

You are also given the option to indicate if attachments can be deleted, and if a password is needed to do so.

Once set up, you can access the document attachments window by clicking on the paperclip icon at the top of the screen, or through the notes icon on the screen.

8. Update an email address during a transaction

If in the middle of a transaction but realise you need to change the email address, you do not have to save or cancel the transaction. Simply back out, update the vendor/customer information and then navigate back to the transaction. 

Email Detail Entry was introduced with Microsoft Dynamics GP 2016 to the transaction windows, enabling you to make changes to a particular transaction. This feature proves particularly useful for those instances when an invoice needs to go to someone other than the handler.
